The flagship build
The problem
Five stages between needing you and coming back. Revenue leaves at all of them
This is not a website problem. A practice can have an excellent website and still lose money at every handoff below, because nothing in the practice owns the handoff itself.
Stage 1
Someone decides they need you
What the practice assumes: They will find the website and call.
What actually happens
They find you outside business hours, or they find you and do not want to make a phone call. There is no record of them at all — which is why this leak is invisible.
Closed by Booking engineWhat it costs
Unmeasurable by definition. A missed call that leaves no voicemail leaves no trace in any report.
Stage 2
They try to book
What the practice assumes: Booking is easy — we answer the phone quickly.
What actually happens
Booking is only possible while you are open, which is exactly when they are at work. Meanwhile the clinic down the road takes the booking at 9pm.
Closed by Booking engineWhat it costs
Appointments that go to a competitor with an easier front door, not appointments that were never wanted.
Stage 3
The appointment waits
What the practice assumes: They know when their appointment is.
What actually happens
Between booking and arrival, life happens. Without a confirmation, a 48-hour nudge and a 24-hour reminder, the decision to not show gets made in silence.
Closed by Reminder automationWhat it costs
Industry no-show rates run 10–25% of booked appointments. Each empty slot is 100% lost revenue with the staff time already spent.
Stage 4
They arrive — or they do not
What the practice assumes: We collect payment at the visit.
What actually happens
Payment after the service means a no-show costs everything and recovers nothing. A booking with no money attached is a reservation, not a commitment.
Closed by Payments & depositsWhat it costs
The full value of the slot, plus the staff time spent preparing for it and chasing it.
Stage 5
They should come back
What the practice assumes: They will book again when they need us.
What actually happens
The recall or follow-up depends on someone remembering to run a report and make calls. Nobody owns the number, so nobody notices it falling.
Closed by Recall & CRMWhat it costs
The largest leak of the five, and the least visible — because a client who never returns never appears as a cancellation.
The flow
Eight handoffs your practice already operates
Most practices own three or four of these and leave the rest to memory. The system's job is to own all eight, in order, without anyone starting them.
- 06Primary leak point
Payment
After the service, so a no-show recovers nothing.
Closed by Payments & deposits
The architecture
Four layers, one system, one login
Client-facing surfaces on top, automation underneath, money in the middle, and the record everything writes to at the bottom. Nothing between them is a manual step.
- L1
Client-facing surfaces
Where the appointment is created, moved or paid for — by the client, at any hour.
- L2
Automation layer
Deterministic sequences with defined triggers. Nothing here waits for a person to remember.
- L3
Money layer
Payment attached to the booking itself, settling into your own Stripe account.
- L4
Record & visibility
One database holding schedule, payment and message history — and the reporting that makes the no-show rate a number.
What gets built
The modules, and the leak each one closes
Each module has its own page with the mechanism drawn out. Values are the itemised figures from the offer document.

How the build runs
21 days, in three windows, with a definition of done
The schedule is published because it is the schedule. A day-7 milestone only means something if it is stated before the engagement starts.
Days 1–7
Discovery to live booking page
A 20-minute discovery call and async intake, then your booking page goes live and starts taking real appointments. This is the Fast-Launch milestone.
Days 8–14
Reminders, payments, dashboard
Email and SMS reminder sequences, Stripe payment and deposit collection, and the owner admin dashboard are connected and tested.
Days 15–21
QA, training, launch
Full QA pass, front-desk training, launch, and Care Plan billing begins.
The definition of done
The build is accepted when the client can complete a live booking, receive a reminder, and complete a test payment without error.
- A real booking can be completed end to end on the live site.
- A reminder is received at the configured interval, over both email and SMS.
- A test payment clears through your own Stripe account without error.
Delivery, phase by phase
Seven phases from contract to Care Plan, each with the input we need from you and the milestone it produces.
Investment
Four tiers, with the itemised stack beside the price
Build investment, Care Plan and itemised stack value are shown together, because the comparison is the point. Every figure is transcribed from the offer document.

Care Plan — $99–$699/mo
- Hosting, monitoring and security patching for the whole system.
- A fixed allocation of change-request hours each month.
- Reporting, plus a scheduled strategy touchpoint at your tier's cadence.
What the Care Plan excludes
- Third-party fees you pay directly — Stripe processing, SMS sends, app store accounts.
- Unscoped mid-build feature requests.
- Compliance certification work.
- Content writing, unless agreed in the statement of work.
- Additional locations beyond the ones in scope.
How these numbers are set
All three tiers carry a 15–25% premium versus a non-medical service business. That premium is already reflected in the ranges shown — nothing is added later.
Care Plan pricing is floored at 1.5× the actual infrastructure and support cost of running your system. Anything outside the defined monthly scope is quoted and billed separately rather than absorbed silently.
Not sure which tier your practice is in?
The Recovered Revenue Report answers it with your own numbers. If the figure is small, we will tell you that and you should not buy anything.
The guarantee
90-Day No-Show Recovery Guarantee
If your no-show rate has not measurably dropped within 90 days of launch, WebtureXperts continues your Care Plan and makes system adjustments at no additional charge until it does.
This is a performance commitment, not a blanket refund. It obliges us to keep working the system until the number moves.
It is measurable because the owner dashboard reports the no-show rate from launch. A guarantee against a number nobody tracks is not a guarantee.
Why it can be offered at all
Every capability behind the guarantee already works in production. That is also why the AI receptionist is on the roadmap and not in any tier — selling an unfinished feature is the fastest way to break the promise.
WebtureXperts onboards a maximum of 3 new practices per month — every build is done personally, not templated at scale.
What owners say first
Three reasonable objections, answered
These are the three we hear, in the order we hear them.
The objection
“A custom system is expensive and slow.”
The answer
Builds are priced 35–55% below US boutique-agency rates, and your booking page is live within 7 days rather than at the end of the engagement.
What backs it
Documented investment ranges start at $1,800 with a day-7 Fast-Launch milestone.
The objection
“Our front desk handles it fine.”
The answer
The Recovered Revenue Report puts a real dollar figure on 'fine', using your own booking data. If the figure is small, you should not buy anything — and we will say so.
What backs it
The report is free, delivered in three business days, with no obligation attached.
The objection
“We tried a booking tool and it did not stick.”
The answer
Rented software expects the practice to configure, launch and maintain it. This is done-for-you, built to your workflow, and backed by a guarantee that obliges us to keep adjusting it until the number moves.
What backs it
If your no-show rate has not measurably dropped within 90 days of launch, WebtureXperts continues your Care Plan and makes system adjustments at no additional charge until it does.
The alternatives
Rented tools at one end, boutique agencies at the other
Both are legitimate purchases. Neither is this one, and the difference is structural rather than a matter of features.
Rented tools
Fast to start, never yours, no guarantee on the outcome.
Boutique agencies
Yours at the end, but priced and paced for a company with a procurement process.
WebtureXperts
Owned like a custom build, priced 35–55% below US boutique-agency rates, live in 7 days, with a 90-day performance guarantee attached.
| Vendor | Published pricing | What it does well | The structural gap |
|---|---|---|---|
| VetstoriaVeterinary booking add-on | From $249/mo, flat | Purpose-built veterinary online booking with real practice-software integrations. | It is a rented tool. There is no owned build, no practice-branded app, and no performance guarantee attached to the outcome. |
| PetDeskVeterinary client engagement | Roughly $200–390/mo, modular | Strong reminder and engagement feature set, with a client app included. | The app is shared across practices rather than branded as yours, and the price climbs as modules are added. |
| WeavePractice communications | Roughly $249–650/mo | Excellent phone-system integration — it is genuinely built around the practice phone line. | The centre of gravity is VoIP and messaging, not the booking-and-payment flow. No guarantee on booking outcomes. |
| NexHealthPatient-experience infrastructure | Typically $400+/mo | Serious EHR and PMS synchronisation — arguably the deepest integration layer available. | It is infrastructure, not a finished branded system. You still need someone to design and assemble the experience on top of it. |
| Boutique development agenciesCustom build | $30,000+ starting | Fully custom, and genuinely yours at the end. | Priced above what a single-location practice approves without a board, and slow enough that the revenue leak keeps running throughout. |
Pricing reflects each vendor's publicly available information at time of writing and may have changed. These are capable products; the comparison below is about ownership model and guarantee, not product quality.
Every tool on the market rents you software. WebtureXperts builds you an asset — with a guarantee that it works.
Fit
Which practices this is for — and which it is not
The tier that usually fits depends on where your revenue actually comes from, not on practice size.
Client Retention Engine
Practices that depend on repeat and recurring visits
Usually fits
Signature Practice App
Practices whose brand is part of the price they charge
Usually fits
Who should not buy this
- Corporate-owned chains, which already run enterprise practice software with an IT function behind it.
- Practices under five bookings a week — there is not enough volume for the system to pay for itself.
- Practices without budget for both a build and a monthly Care Plan.
- Owners who genuinely enjoy configuring software themselves. Done-for-you is the wrong purchase for them.
Stated up front
What this system does not do, and what we do not claim
Naming the boundaries before the engagement is cheaper for both sides than discovering them during it.
Data posture
Data minimisation by default
The booking layer collects what it needs to schedule an appointment and take a payment. Nothing more is collected because nothing more is needed.
Clinical records stay in your clinical system
We do not build systems that store patient medical or clinical information. That data belongs in your practice management or EHR system.
Card data never touches your database
Payments are handled by Stripe. Your system holds a token reference, not a card number.
No certification claimed
WebtureXperts does not hold or claim HIPAA, SOC 2 or ISO certification, and compliance certification work is explicitly outside our scope. If your engagement requires certification, we will tell you that before you commit.
Outside scope
Unscoped mid-build feature requests
New scope during the build is quoted separately rather than absorbed. This is what protects the day-7 and 21-day milestones.
Third-party fees
Stripe processing, SMS sends and app store accounts are paid by you, directly to those providers. No markup passes through us.
Compliance certification work
We build with data minimisation as the default, but we are not a compliance certification provider and we do not claim any certification. Formal certification is a separate specialist engagement.
Content writing
Copy for your site pages is not included unless it is written into the statement of work.
Additional locations
Each location beyond the scoped build is quoted separately, under Custom / Enterprise.
Questions
The Zero No-Show System, in detail
What is the first thing that actually goes live?
Your booking page. It is live and taking real appointments on day 7, before the reminder, payment and dashboard layers are finished. The full entry build completes in 21 days.
What does the guarantee commit you to?
If your no-show rate has not measurably dropped within 90 days of launch, WebtureXperts continues your Care Plan and makes system adjustments at no additional charge until it does. This is a performance commitment, not a blanket refund. It obliges us to keep working the system until the number moves.
Who owns the system at the end of the build?
You do. The domain, the Stripe account, the database and the source code are yours, and there is no per-seat licence. That is the structural difference between this and a subscription tool.
What does the Care Plan not cover?
The Care Plan covers hosting, monitoring, security patching, a fixed allocation of change-request hours and reporting. It excludes: Third-party fees you pay directly — Stripe processing, SMS sends, app store accounts; Unscoped mid-build feature requests; Compliance certification work; Content writing, unless agreed in the statement of work; Additional locations beyond the ones in scope.
Do you hold HIPAA, SOC 2 or ISO certification?
No. We build with data minimisation as the default, clinical records stay in your clinical system, and card data never touches your database — but WebtureXperts does not hold or claim any compliance certification, and certification work is explicitly outside our scope.
Is an AI receptionist part of this?
No. A voice and chat layer that handles inbound booking calls is being built and tested. It is not included in any tier, it is not quotable today, and it will not appear in a proposal until it has been shipped and proven in a live practice. The 90-day guarantee only means something if every capability behind it already works. Selling an unfinished feature is the fastest way to break it.
Can we start small and add the rest later?
Yes — that is what the tier ladder is for. No-Show Shield is the entry build, and the Retention Engine and Signature App tiers add on top of it rather than replacing it.
Next step
Start with the number, not the build
Send the four figures your practice already has. You get a written estimate of what your current booking flow leaks each month, plus a recorded teardown of where it goes — in three business days, with no obligation to build anything.
- 20 minutes discovery call, only if you want one
- 90-Day No-Show Recovery Guarantee
- 3 new practices a month
