One promise, written against one number
If your no-show rate has not measurably dropped within 90 days of launch, WebtureXperts continues your Care Plan and makes system adjustments at no additional charge until it does.
This is a performance commitment, not a blanket refund. It obliges us to keep working the system until the number moves.
That distinction is deliberate. A refund returns your money and leaves the practice exactly where it started — still losing the slots. A performance commitment keeps the people who built the system working on it until the number it was built to move has moved.

The outcome
Why the no-show rate, and not revenue
A guarantee is only honest if the thing it names can be measured by both sides, from the same report, without interpretation.
It is directly attributable
Reminders, deposits and confirmations act on whether a booked appointment is kept. That is a mechanism the system controls. Revenue is affected by pricing, case mix, staffing and season — none of which a booking system touches.
It is already being reported
The dashboard reports the rate from launch as part of the build, not as an extra piece of instrumentation added because a claim was made. The measurement existed before the guarantee did.
It is the leak worth closing
An unfilled slot cannot be recovered later and was never invoiced. In an appointment-based practice, it is the single loss that recurs weekly and that nobody is currently assigned to stop.
What the guarantee does not name, it does not promise. There is no commitment here on revenue, new-patient volume, search rankings, review counts or return on investment, and no client outcome is claimed on this site that has not been documented.
How it works
Four mechanisms, all of them shipped before the promise is made
The guarantee is only defensible because every capability behind it already runs in a live practice. Nothing unfinished sits inside a guaranteed build.
- Step 01
A baseline is recorded at launch
The owner dashboard reports the no-show rate from the day the system goes live, against your own appointment types. The starting figure is written down before the clock starts, because a guarantee against a number nobody tracks is not a guarantee.
- Step 02
The reminder layer runs unattended
Email and SMS go out at booking, 48 hours and 24 hours, without anyone at the front desk starting them. Most of the movement in the number comes from here, which is why it is never optional in a guaranteed build.
- Step 03
Deposits sit inside the booking flow
Where a deposit or card-on-file rule is agreed, it is collected during booking rather than chased afterwards. A booking with money attached behaves differently from one without.
- Step 04
The system is adjusted against the data, not opinion
Reminder timing, deposit rules, appointment lengths and confirmation copy are tuned during the 90 days based on what the dashboard reports. This is the part the guarantee obliges us to keep doing.
Responsibilities
What we are on the hook for, and what the practice is
A performance commitment only works when both halves are written down. Neither list is longer than it needs to be.
WebtureXperts is responsible for
- Build and launch the booking, reminder, payment and dashboard layers agreed in your statement of work.
- Record the no-show baseline at launch and report the rate through the owner dashboard for the full 90 days.
- Continue the Care Plan and make system adjustments at no additional charge if the rate has not measurably dropped in that window.
- Keep the system running while that work happens — hosting, monitoring and security patching continue as normal.
- Tell you if the data shows the constraint is somewhere the system cannot reach, rather than billing indefinitely against a number we cannot move.
The practice is responsible for
Run the system as designed
Reminders stay switched on, and an agreed deposit rule stays in place. Turning either off after launch puts the outcome outside our control, and the qualifier in the terms says so.
Take bookings through the system
Appointments booked around it — on paper, in a separate calendar, or over the phone without being entered — are not visible to the reminder layer and cannot be measured.
Keep availability accurate
Live availability is only correct if closures, holidays and clinician changes are entered. A booking made into a slot that does not exist is not a no-show the system caused.
Complete the phase inputs on time
Discovery intake, the single design review round, the QA walk-through and front-desk training are what the 90-day window is measured from. Delays there move the launch date, and the clock starts at launch.
What the practice actually has to do, phase by phase
The full input list for a build is short by design — the point of done-for-you is that the work is not handed back to you.
- 01Contract. Review and sign the SOW.
- 02Discovery. One short call, then a written intake you can complete between patients.
- 03Design. One round of review on the flow before anything is built.
- 04Development. Nothing, unless something in discovery turns out to be wrong.
- 05QA. Walk the flow yourself once and tell us what feels wrong.
- 06Launch. Attend training with your front-desk team.
- 07Care Plan. Send change requests as they come up.
Two commercial milestones sit alongside those inputs: a 40–50% deposit before any work begins, and final build payment at launch, when Care Plan billing starts.
Definition of done
The build is accepted when the client can complete a live booking, receive a reminder, and complete a test payment without error.
- A real booking can be completed end to end on the live site.
- A reminder is received at the configured interval, over both email and SMS.
- A test payment clears through your own Stripe account without error.
Acceptance is the point the 90-day clock starts from.
Eligibility
Who the guarantee can be offered to
It is confirmed in your statement of work before the deposit, not negotiated afterwards. Three conditions have to hold.
Condition 01
The build includes the reminder layer
Email and SMS reminders at booking, 48 hours and 24 hours are the mechanism the commitment rests on. A build without them is not a guaranteed build.
Condition 02
An active Care Plan is in place
The remedy is continued work — hosting, monitoring and a monthly allocation of change hours. Care Plan is the vehicle that work runs through, so it has to be live for the promise to mean anything.
Condition 03
There is enough volume to measure
A rate calculated over a handful of appointments is noise. Practices under five bookings a week are outside the offer entirely, for the same reason.
And where we would decline the work
- Corporate-owned chains, which already run enterprise practice software with an IT function behind it.
- Practices under five bookings a week — there is not enough volume for the system to pay for itself.
- Practices without budget for both a build and a monthly Care Plan.
- Owners who genuinely enjoy configuring software themselves. Done-for-you is the wrong purchase for them.

Conditions & limits
What the guarantee deliberately does not cover
Every line here exists because a guarantee that quietly covers everything is one that will be argued about later.
Limits on the promise itself
- It is not a refund. No part of the build fee or Care Plan fee is returned under it.
- It is not unconditional. It depends on the system being used as designed, and on the reminder layer and any agreed deposit rule staying in place.
- It covers the no-show rate and nothing else — not revenue, not bookings, not rankings, not reviews.
- It runs for the 90 days after launch. Beyond that, ongoing improvement is what the Care Plan is for.
- It cannot be extended by adding scope mid-build. New scope is quoted separately and moves the launch date the clock starts from.
Outside the scope of any engagement
These sit outside the build, and therefore outside the guarantee, on every tier.
- Unscoped mid-build feature requests. New scope during the build is quoted separately rather than absorbed. This is what protects the day-7 and 21-day milestones.
- Third-party fees. Stripe processing, SMS sends and app store accounts are paid by you, directly to those providers. No markup passes through us.
- Compliance certification work. We build with data minimisation as the default, but we are not a compliance certification provider and we do not claim any certification. Formal certification is a separate specialist engagement.
- Content writing. Copy for your site pages is not included unless it is written into the statement of work.
- Additional locations. Each location beyond the scoped build is quoted separately, under Custom / Enterprise.
The Care Plan carries its own exclusions — third-party fees you pay directly, unscoped requests, certification work, content writing and additional locations. They are listed with the tiers rather than hidden here.

What actually happens on day 91
This is the part most guarantees leave vague. Here it is as a sequence, in order.

We read the same report you do
The dashboard figure for the 90 days is compared against the baseline recorded at launch. There is one number and one source, so there is nothing to dispute.
- 02
The Care Plan continues at no additional charge
Billing does not stop, and neither does the work — the point is that you are not paying more to get the outcome you were promised.
- 03
We keep adjusting the system until it moves
Reminder timing and channel mix, deposit rules, appointment lengths, confirmation copy and the booking flow itself are the levers. They are worked in that order because that is the order they matter in.
- 04
If the constraint is not in the system, we say so
If the data shows the losses are coming from something the booking system cannot reach, you get told that in writing rather than billed indefinitely against a number we cannot move. That is the honest end of the same commitment.
Before any of this applies, find out whether the leak is worth fixing
The Recovered Revenue Report puts a written monthly figure on what your current booking flow costs. If the number is small, we will tell you that instead of selling you a build.
Why it exists
Because the alternative is asking you to take the risk alone
A practice buying a booking system is being asked to pay a build fee and a monthly fee for an outcome it cannot verify in advance. The usual answer to that is a case study or a testimonial — someone else's result, offered as a substitute for yours.
This is the other answer. The commitment is stated before you ask for it and written into the engagement, rather than produced as a concession once something has gone wrong. It moves part of the risk back onto the party that actually controls the build.
It also disciplines what can be sold. A capability that has not shipped cannot sit inside a build we have guaranteed, and a practice the system cannot help cannot be onboarded just to fill a slot in the month. Both of those constraints exist because of this page.

The things worth asking before you sign
Answers here restate the documented terms. None of them extends the guarantee beyond what your statement of work says.
- Is this a money-back guarantee?
- No. This is a performance commitment, not a blanket refund. It obliges us to keep working the system until the number moves. If the no-show rate has not measurably dropped within 90 days of launch, we continue your Care Plan and keep adjusting the system at no additional charge until it does. It does not entitle you to a refund of the build.
- What counts as a measurable drop?
- The no-show rate the owner dashboard reports for the 90 days after launch, compared against the baseline recorded at launch, over the same appointment types. Both figures come from the same report, so there is no second definition to argue about.
- When does the 90 days start?
- At launch — the point where the system is live, your front-desk team has been trained, and bookings are coming through it. It does not start at contract signature, and it is not affected by how long discovery took.
- What if we switch the reminders off?
- Then the guarantee does not apply for that period. The commitment is that the system will move the number when it is used as designed; reminders left switched off, or a deposit rule removed after launch, put the outcome outside our control.
- Does the guarantee cover revenue, bookings or reviews?
- No. It is written against the no-show rate only. We do not guarantee revenue, new patient volume, search rankings or any other outcome, and no client results are claimed anywhere on this site that have not been documented.
- Does every tier carry it?
- The guarantee attaches to builds that include the reminder layer and an active Care Plan, because those are the two mechanisms it depends on. It is confirmed in your statement of work before the deposit, not offered afterwards.
