Privacy Policy

How WebtureXperts collects, uses, stores and shares personal information — separated into what this website does and what the systems we build for clients do.

In plain language

  • This website collects what you type into a form and standard technical request data. Nothing else.
  • No analytics runs until you consent to it, and this site sets no advertising or cross-site tracking cookies at all.
  • We do not ask for, and will not accept, patient or clinical records through this website.
  • The systems we build for clients handle appointment data on the client's behalf; in those systems the client, not us, decides what is collected.

This summary is written to be read quickly and is not a substitute for the sections below. Where the two could be read differently, the sections govern.

Who we are

WebtureXperts ("WebtureXperts", "we", "us", "our") is an implementation partner for appointment-based practices, including veterinary, dental, medical, physiotherapy and wellness practices. We build booking, reminder, payment, client-portal and practice-app systems intended to reduce missed appointments, reduce front-desk workload and improve the client experience.

This policy is written by us and applies to us. You can reach us at with any question about it, including a request to exercise the rights described below.

What this policy covers

This policy covers two different things, and it is worth separating them because the answers differ.

This website

Pages you are reading now, the forms on them, and the request data any web server necessarily receives. We are the controller of this information.

Systems we build for clients

Booking, reminder, payment and portal systems operating under a practice's own name. There, the practice decides what is collected and why; we process it on their instructions.

Where a section below applies to only one of the two, it says so.

Information this website collects

Information you provide

The forms on this site ask for business contact details and information about how your practice currently handles appointments. Typically: your name, email address, practice or company name, website, industry, rough appointment volume, what you use for booking and reminders today, the operational problem you want solved, and an indication of timeline or budget.

We do not want patient or clinical information

No form on this site asks for patient, client or animal records, and none should ever be sent to us through one. If clinical information reaches us by accident, we delete it rather than file it. The audit and report are produced against a practice's public booking page, not against its records.

Information collected automatically

Like any web server, ours receives your IP address, the request headers your browser sends (including browser and operating system identifiers and referring page), and the address of the page requested. This is used to serve the page, to diagnose errors and to limit abusive request volumes on the form endpoint.

Where analytics is enabled and you have consented to it, aggregate usage information — pages viewed, and which buttons and forms were used — is also collected. This is described in the Cookie Policy, and it does not run before consent.

Information inside systems we build

Where a practice engages us to build or operate a system, that system may hold appointment details, booking and cancellation status, reminder delivery records, portal activity, payment status and related operational data. In veterinary settings this can extend to patient identifiers, species, vaccination intervals, intake notes and owner contact details.

That information belongs to the practice. It is collected under the practice's own privacy notice, for the practice's own purposes, and we access it only as needed to build, operate, support or repair the system. The practice remains responsible for its own notices, consents, retention rules and any industry-specific obligations that apply to it.

How we use information

  • To produce and send the report, audit or proposal you asked for, and to reply to you about it.
  • To carry out onboarding, implementation, support and maintenance for engaged clients.
  • To build and operate booking, reminder, payment, portal and app systems.
  • To send invoices and process project and recurring service fees.
  • To keep this website working: diagnosing errors, measuring performance and preventing abuse of the form endpoint.
  • To meet legal, tax, accounting and recordkeeping obligations.

Information you send through this site is not sold, and it is not added to an automated marketing sequence. Requesting the report gets you the report, one follow-up asking whether it was useful, and nothing further unless you reply.

Where the law requires a stated basis, we rely on one or more of: your consent, performance of a contract, our legitimate interests in operating and securing the business, compliance with a legal obligation, and — in rare cases involving animal or human welfare inside a client system — protection of vital interests.

Payments

This website does not take payments and has no checkout. Where payment is taken inside a system we build, it is handled by an established payment provider such as Stripe, which publishes its own security and PCI compliance documentation. We do not intentionally store full card numbers or CVV codes on our own servers.

Service providers

Used by this website

  • A hosting platform, which serves these pages and necessarily processes request data.
  • An email delivery provider, which transmits the contents of a submitted form to our inbox so we can reply.
  • An analytics provider, only where analytics is enabled and only after you have consented.

Used inside systems we build

  • Stripe, for payment processing and payment infrastructure.
  • Twilio, for SMS, voice and messaging used by booking and reminder features.
  • AWS, for hosting, compute, storage and backups. AWS offers a data processing addendum and contractual transfer mechanisms to its customers.
  • Domain registrars, app stores and similar operational services, where a build requires them.

These providers may process data in jurisdictions other than your own, under their own security and contractual controls. We do not sell personal information to anyone, and we do not share it with advertising networks.

Cross-border transfers

We work with practices in United States and Canada and Australia, and operate from Lahore, Pakistan. Information may therefore be transferred and processed across borders, including in the United States. Where the law requires it, we rely on appropriate contractual safeguards and on the transfer mechanisms our providers make available.

How long we keep information

We keep personal information for as long as is reasonably necessary to do the thing it was given to us for, to keep proper business records, to resolve disputes and to satisfy legal obligations. Retention differs by category: an enquiry that goes nowhere is kept far shorter than the contractual and billing records of a completed engagement.

You can ask us to delete an enquiry at any time and we will, subject to any record we are legally required to keep.

Security

We apply reasonable administrative, technical and organisational safeguards, which include access control, encryption in transit, backups, logging, dependency patching and separation of credentials from application code. Submissions to this site are rate-limited and screened for automated abuse.

No online system can be guaranteed secure, and we do not claim otherwise. We also make no certification claim: we hold no security or privacy certification, and any statement that we are HIPAA, SOC 2 or ISO certified would be false.

Your rights

Depending on where you live, you may have the right to access the personal information we hold about you, to have it corrected or deleted, to restrict or object to certain processing, to withdraw consent, and to ask how your information has been used or shared.

To exercise any of these, email . We will respond within a reasonable period and in line with applicable law. If your request concerns information held inside a practice's own system, we will pass it to that practice, because the request is properly theirs to answer.

Cookies

This site uses no advertising or cross-site tracking cookies. What it does use, and how consent works, is set out in full in the Cookie Policy.

Children

This website is directed at practice owners and operators, not at children, and we do not knowingly collect personal information from children through it. Where a client's system involves minors or special-category data, that client is responsible for the notices, permissions and controls the law requires of them.

Changes to this policy

We may update this policy as our tools, providers or obligations change. The effective and last-updated dates at the top of this page always reflect the version you are reading.
